What we collect
Account details (name, email, role, institution, country and language), the child information a parent chooses to record, documents uploaded to a child's space, messages, goals, meetings, tasks and reports, and technical logs required to keep the service secure.
Lawful basis
We process personal data to perform our contract with the account holder, and, for special category data such as health information, on the basis of the explicit consent given by the parent or legal guardian when they add that information and grant access to a professional.
Who can see a child's data
Only the people the parent adds to that child's circle. Access is enforced at the database layer with row-level security and can be changed or revoked by the parent at any time. Staff access is limited to what is strictly necessary to operate and support the service.
Security
Data is encrypted in transit and at rest. Documents are held in private cloud storage accessible only through short-lived signed links. Every meaningful action is recorded in an audit trail attributed to the person who performed it.
Retention and deletion
You can delete your account at any time from Settings, and a guardian can permanently delete a child's record. Deletion removes profile data, memberships, documents and stored files, and is recorded in a non-identifying deletion audit log.
Your rights
You may request access, correction, export, restriction or erasure of your personal data, and you may withdraw consent at any time. Write to hello@joinonecircle.com. You also have the right to complain to the UK Information Commissioner's Office.
International transfers
Where data is processed outside the UK or EEA, we rely on providers offering appropriate safeguards, including standard contractual clauses.
